Purpose

Committees are formed for the purpose of assisting in the planning, organization, and implementation of association programs and activities. The Board of Directors will charge each committee chair with specific responsibilities and chairs shall report to the Board of Directors through the designated board liaison.

CHAIR

General

  • Understand the purpose of the committee as well as the association governance documents (bylaws, policies and procedures and strategic plan)
  • Facilitate the work of the committee
  • Work closely with the board liaison to keep the lines of communication open
  • Attend virtual onboarding session for new leaders in the fall
  • Communicate with the board liaison if you are unable to serve as chair permanently or for a limited period of time so we can make accommodations as needed (we understand you are volunteers and other priorities will arise)
  • Attend leadership onboarding training and bi-annual committee leadership meetings
  • Submit written reports to include budget requests and annual report prior to board meetings
  • Provide verbal report at annual Business Meeting at the Annual Convention

Committee Meetings

  • Attend and actively chair all committee meetings
  • Work with staff to determine frequency and timing of meetings
  • Work with staff to draft meeting agendas and schedule calls
  • Facilitate meaningful discussion and develop consensus among the group
  • Delegate tasks among the group and follow up in between meetings as needed

Committee Management

  • Work with the board liaison and vice chair to recruit and select committee members
  • Maintain ongoing communication with committee members throughout the year
  • Create community of professionals with a purpose

VICE CHAIR

  • Serve as committee chair in their absence
  • Support committee chair as needed
  • Prepare meeting materials as requested by chair
  • Keep the committee productive and on track between meetings (follow up on action items)

BOARD LIAISON (resource, consultant and advisor)

  • Serve as a liaison from the board to the committee and between committees
  • Assist with selection of Committee leadership and members
  • Provide verbal reports at meetings, as needed
  • Actively monitor, guide and support committee leadership
  • Keep committee on track and in line with association strategic plan

COMMITTEE MEMBER

  • Understand and support the purpose of the committee
  • Sign commitment form annually
  • Review all relevant materials before committee meetings
  • Attend all meetings to the best of your ability and communicate to staff and chair if you are unable to attend
  • Provide thoughtful input, trust and respect others opinions
  • Take on responsibilities and commit to fulfilling them in a timely manner
  • Represent the committee at other association meetings and events
  • Act in good faith and in the best interest of the association, not on behalf of your own personal interest
  • Actively recruit committee members

STAFF

  • Manage committee in database
  • Send commitment form and follow up with committee members as needed
  • Work with chair to draft agendas and prepare support materials for meeting
  • Record minutes, track attendance and send to committee at least 10 days after meeting
  • Send and manage meeting invitations
  • Communicate with staff and the board about committee activities as needed

COMMITTEE TERM

The Committee Chair and Vice Chair are elected for a two-year term. After two years, the Vice Chair shall assume the Chair position and a new vice chair is appointed. Committee members are asked to commit to a one-year term.
